Adventure Trek in Himalaya (P) Ltd is a government-authorized and registered trekking company in Nepal, dedicated to ensuring the best possible services to our customers.

Please go through our terms and conditions carefully before booking your trip with us! These terms and conditions are effective from the date you book the trip with us:

GENERAL BOOKING CONDITIONS

For trips in Nepal, Tibet, and Bhutan, a photocopy of your passport, completion of our online

booking form, and a 15% deposit of the total trip cost are required at the time of booking. The 15% deposit is non-refundable once the booking is confirmed and will be treated as a trip cancellation fee if you cancel the trip at any time after confirmation.

The remaining balance must be paid upon your arrival in Kathmandu, before the commencement of your trip. The balance should be paid in cash in US dollars, by credit or debit card, or via wire transfer.

Please note that card payments are subject to an additional processing surcharge.

Note: For Bhutan and Tibet tours, the full remaining balance must be paid at least 20 days before the scheduled departure date if you intend to fly directly to those destinations. We reserve the right to cancel the trip if payment is not received within the stipulated timeframe.

LAST-MINUTE BOOKING

We also even accept last-minute bookings. You can book a trip to Nepal 3 days before the trip departure dates. However, last-minute bookings may not be acceptable in the case of the Bhutan or Tibet trips.

POSTPONE THE TRIP

Written notice should be sent to us if you cannot travel on the allocated days for any reason.

POSTPONEMENT POLICY (Nepal Trips Only):

After your trip is confirmed, if you are unable to travel due to any unforeseen reason, you may postpone your trip to a later date. This free postponement policy is valid exclusively for trips within Nepal. You may choose new travel dates at your convenience and use your full trip credit whenever you decide to travel in the future. We offer this option without applying any additional administrative charges.

CANCELLATION POLICY

If you cancel your trip, the 15% deposit paid at the time of booking will be treated as a cancellation fee. This policy becomes effective immediately once your booking is confirmed, and the deposit is strictly non-refundable.

If you have paid an amount exceeding the required 15% deposit, we will deduct the deposit from the total amount received and refund the remaining balance to you via your original payment method.

RISK AND LIABILITIES

All tours in Nepal, Tibet, and Bhutan are conducted under the strict rules and regulations of the respective country's tourism board. We are not liable for any changes, delays, or cancellations of the trip under unavoidable circumstances such as changes in government regulations, restrictions, natural disasters, political instability, flight cancellations, delays, sickness, accidents, or vehicle breakdowns. Any extra costs incurred due to such circumstances must be borne by the clients. Therefore, comprehensive travel insurance is highly recommended.

INCOMPLETE TRIP POLICY

We do not issue refunds for any tour, trek, or expedition that is left incomplete due to personal decisions, health conditions, or any other reasons arising from the client’s side. Once the trip has commenced, no refunds or compensations will be provided for unused services, missed days, or early departures.

UNFORESEEN CIRCUMSTANCES (Force Majeure)

If your trip is canceled or disrupted due to circumstances beyond our control—including but not limited to natural disasters, extreme weather, political instability, government restrictions, or safety concerns—the trip cost will not be refunded. However, the full amount paid will be retained as a lifetime trip credit. This credit may be used for an alternative itinerary or a rescheduled trip within Nepal at a later date, subject to availability.

TRAVEL INSURANCE

Comprehensive travel insurance is mandatory for all clients joining our trips. Your insurance policy must cover medical treatment, personal accidents, emergency evacuation (including helicopter rescue), trip cancellation/interruption, loss or damage of personal gear and baggage, and natural disasters.

Clients are responsible for checking their insurance policy details, including any deductibles. In the event of an emergency, any costs or excess fees not covered by your insurance provider must be paid directly by you at the time of service.

FLIGHT DELAY/CANCELLATION

Flight delays and cancellations are likely to happen often during bad weather conditions in remote areas, particularly in the Everest, Annapurna, Dolpo, Simikot, and Jumla regions.

Therefore, it is advisable to carry some extra money to buy food and accommodations in case of delays. Adventure Trek in Himalaya (P) Ltd will not be responsible for any of the additional expenses. Therefore, please plan accordingly.

DURING THE TOUR

If a client engages in any unlawful or prohibited activity and is detained, fined, deported, or required to leave by local authorities, Adventure Trek in Himalaya (P) Ltd will not be responsible for any refunds, compensation, or recovery of unused services. All costs, penalties, or consequences arising from such actions shall be borne entirely by the client.

WARNING

Our terms and conditions apply only if you book your trip directly with us. If you book through an agent or a third party, you will be subject to their respective terms and conditions.

To reassure both new and already booked travelers, we have outlined our Risk-Free Booking Policy. This ensures that no matter when you booked, your holiday plans remain flexible and your finances secure.

RISK-FREE BOOKING POLICY ALLOWS YOU TO:

Confirm your trip with a 15% security deposit. The balance is payable upon arrival in Nepal. Please note: the 15% security deposit is strictly non-refundable.

If you have already booked or are planning a new trip and cannot travel due to travel disruptions, political unrest, pandemics, or personal emergencies, you can postpone without penalty by contacting us in advance. You do not need to decide on new dates immediately. Your deposit will remain as a lifetime credit with no expiry date, valid for any future trip once you are ready.

Once we agree to the postponement together, your deposit will be officially secured for your next trip with us. The credit is applied on a per-person basis, so you are not required to travel with the same number of people as originally booked. We understand group sizes may change in the future, and your credit will remain valid per person.

WHAT ABOUT ANY TRIP CANCELLATIONS?

If you cancel your trip entirely, the 15% deposit will be forfeited and cannot be transferred as credit. Cancellations result in a complete loss of this deposit, as arrangements are set in motion from the time of booking.

That’s why we strongly recommend postponement instead of cancellation. By postponing, whether you booked long ago or recently, your deposit is safe, carried forward as lifetime credit, and usable on any future date.

Does this policy apply to travelers who have already booked their trip?

Can I postpone my trip more than once under this policy?

Yes. You can postpone multiple times, as long as you contact us in advance. Your deposit stays safe as credit with no expiry date.

Do I lose my deposit if I don’t set new dates right away?

No. Your deposit remains secure as credit until you are ready to confirm your new travel dates.
